Naples Wallpaper – Wallpaper Sample Ordering Procedure
🎯 Purpose:
To ensure every wallpaper sample order is properly invoiced, tracked, and linked to the customer profile for efficient follow-up and project success.
✅ STEP-BY-STEP SAMPLE ORDER PROCEDURE
1. Customer Selects Wallpaper Samples in Showroom
Assist the customer in browsing wallpaper books or swatches.
Once they’ve selected the samples they want ordered, confirm:
Brand/collection name
Pattern name/number
Color/finish
Number of samples requested (per design if more than one)
“Great choice! I’ll place your sample order now. It usually takes 2–5 business days to arrive. Let’s go ahead and get you set up.”
2. Enter the Customer into Workiz
Open Workiz and create a New Customer profile (if not already created).
Enter:
Full Name
Email
Phone Number
Address.
Add a note: “Wallpaper samples ordered – [Date] – [Brands/Patterns]”
3. Create the Invoice for Wallpaper Samples
Go to Workiz > Create Invoice
Product: “Wallpaper Sample Order – ”
Line item(s):
Wallpaper Sample – [Brand/Pattern] – $XX.00 each
(Set your fixed price for samples, e.g., $5–$10 per sample depending on policy.)
Add any shipping fees if applicable.
Total the invoice, collect payment immediately, and issue a receipt (printed or emailed).
4. Log Order in Wallpaper & Samples Tracking Sheet
Open your shared Wallpaper & Samples Tracking Sheet and add a new row with:

Be sure to:
Double-check correct spelling and product details.
Include your name under “Ordered By.”
5. Place the Sample Order with Supplier
Log into the supplier portal or email your trade rep.
Use the details from the client’s selection.
Confirm estimated delivery date and shipping method.
Once order is confirmed:
Add tracking number and expected arrival date to the tracking sheet when available.
6. Notify the Client
“Your wallpaper samples have been ordered and should arrive in 2–5 business days. We’ll notify you as soon as they arrive here in the showroom!”
Log a note in Workiz under the customer file:
“Samples ordered on [Date]. ETA: [Date]. Tracking added to sheet.”
✅ Optional Next Step: Schedule a Design Follow-Up
Ask the customer:
“Would you like to come back in once the samples arrive to go over the final selection and plan installation?”
If yes, schedule a follow-up appointment in Workiz.
